2 How you run things now

3 Where the time goes

What eats up the most of your day that you wish it didn't?

What kinds of things slip through the cracks? Follow-ups, quotes you meant to send, a customer you forgot to update, invoices you forgot to chase…

If a tool could just handle one annoying thing for you, what would you pick first?

4 How you price and quote a job

Plain language is perfect — just how you actually do it.

When someone wants a price, how do you figure it? Per square foot? Per visit? Per room or unit? A flat number from experience? A mix?

What are the jobs / services you quote over and over?

Do you send a written estimate now? What does it look like? A PDF, a text, a handshake number? A photo of a real past estimate would be gold.

Do you usually take a deposit to start? Roughly how much?

5 Getting paid

How do customers pay you today? Check, cash, card, Zelle, Venmo…

Would you want customers to pay you online — see their invoice and pay from a link?

Any interest in accepting crypto or stablecoin payments down the road? Stablecoins are digital dollars — worth $1, settle in seconds, near-zero fees. This would be alongside normal payments, never instead of them.

6 Who your customers are

Who do you mostly work for? Homeowners, businesses / offices, HOAs, property managers, general contractors — what's the mix?

Do you have repeat customers or big accounts you deal with again and again? Weekly / monthly regulars count too

With a bigger account (a property manager, an office, an HOA), is it usually one main contact, or a few people on their side?

7 Your team

Who's involved day to day, and roughly what does each person handle? Office stuff vs. out in the field

Do you have a crew lead / supervisor who'd need to see their assigned jobs and upload photos from the field?

Is there anyone whose job is mostly answering leads and scheduling?

8 The customer portal — the fun part

A private login where your customers can see their own jobs. Dream a little.

If your customers could log in, what would you love for them to see? Job status, photos, their documents, approve an estimate, pay an invoice, message you, request service…

Anything customers should absolutely NOT see? Your costs, what you pay helpers or subs, your margins, internal notes

Anything that would make you look more professional / save you a phone call?

10 Brand & the website

Do you have your logo as a clean image file (transparent background if possible)?

11 Photos & videos
